Minutes Process

The designated Secretary must update the page efficiently after each bi-monthly meeting:

  1. Draft Circulation: Draft minutes must be sent to the Executive Board for review and correction within 1-2 weeks post-meeting.
  2. Posting: Once Board-approved, minutes are posted on the official page, clearly labeled by date.
  3. Formal Approval: At the subsequent meeting, a motion to formally approve the posted minutes is the first order of business. This locks them in as the official record, ensuring all members use the same documented decisions until the next meeting.
